A teacher calls in sick. Pheebs finds the sub.

Pheebs is an AI voice assistant that answers your district's substitute line any time of day or night. It takes down the absence, calls qualified subs until one says yes, and texts them the room number and lesson plans.

No more 5am phone trees for principals and office staff.

How a sick morning goes

Here is one example morning. Nobody in the front office picks up the phone until they get to work.

  1. 5:45am

    Ms. Rivera calls in sick

Pheebs answers right away. It logs the date, a full day, and that the plans are in the blue folder.

  2. 5:47am

    Pheebs calls subs

It starts with subs certified for 3rd grade who know the school and have good ratings. It calls one at a time.

  3. 5:52am

    A sub says yes

Pheebs assigns the job and texts Mr. Daniels the room number and where to find the plans. The front office and Ms. Rivera get a message too.

  4. 7:30am

    The sub arrives

Mr. Daniels signs in at the front office and goes to Room 14. The class starts on time with their own lesson.

What Pheebs does

Pheebs handles the sub line from the first call to the text that tells the sub where to go.

Answers every call

Day or night, weekends and holidays. Teachers talk to a friendly voice instead of leaving a voicemail at 5am.

Logs the whole absence

Date, full or half day, room number and where the lesson plans are. Nothing gets lost on a sticky note.

Picks the right subs first

Subs are ranked by certification, whether they know the school, and their ratings. The best fit gets the first call.

Calls until someone says yes

Pheebs calls subs one at a time and keeps going down the list. If nobody accepts, it pages your sub coordinator.

Texts everyone what they need

The sub gets the room number and where the plans are. The front office and the teacher get a note saying the class is covered.

Learns your preferences

Pheebs remembers which subs teachers ask for, which schools each sub likes, and who turns down early calls.

What a call sounds like

Teachers call the same number they use today. Pheebs asks a few short questions and the call is over in about a minute.

This is a sample call. The names are made up.

District sub line 5:45am
  1. PheebsGood morning, this is Pheebs on the sub line. Who am I speaking with?
  2. Ms. RiveraHi, it's Ana Rivera, 3rd grade at Maple Street. I'm sick and can't come in today.
  3. PheebsSorry to hear that. Is this for the full day or half a day?
  4. Ms. RiveraFull day.
  5. PheebsGot it. Where can the sub find your lesson plans?
  6. Ms. RiveraBlue folder in my top desk drawer. Room 14.
  7. PheebsThanks. I'll find a sub now and text you when someone confirms. Feel better.
  8. 7 minutes later, Ms. Rivera gets a text: "Mr. Daniels will cover Room 14 today."
